What data may be collected

Data

Depending on how you use the website, the following data may be processed:

  • name
  • email address
  • phone number, when you provide it yourself
  • information submitted through contact forms
  • information you provide in relation to coaching or an inquiry
  • answers you submit in the HSP System Scan or other interactive applications
  • technical website data, such as browser information, device information, IP address or anonymized statistics
  • cookie or analytics data, where these are used on the website

No more data are requested than reasonably necessary for the purpose for which you provide them.

How data are used

Purposes

Personal data may be used for:

  • responding to contact requests
  • planning, preparing or providing coaching
  • processing an inquiry or appointment
  • displaying results of the HSP System Scan
  • ensuring the technical operation of web applications
  • improving the website, user experience and services
  • complying with legal or administrative obligations, where applicable

Data are not used for medical or psychological diagnosis.

Legal bases for processing

GDPR

Personal data are only processed when there is a valid legal basis.

Depending on the situation, processing may be based on:

  • consent, for example when you voluntarily submit data through a form or scan
  • performance of a contract, for example when you request or receive coaching
  • legal obligation, for example for administrative or tax retention requirements
  • legitimate interest, for example for basic security, website operation or service improvement

When processing is based on consent, you may withdraw that consent later. This does not affect processing that lawfully took place before withdrawal.

HSP System Scan and web applications

HSP System Scan

This website may contain interactive web applications, including the Human System Protocol™ System Scan.

When you complete the HSP System Scan, your answers may be processed to provide an indication of possible system dynamics, such as capacity, activation, predictive interpretation, resource allocation and behavioral patterns.

The scan results are intended for reflection, coaching and self-observation. They do not constitute a medical, psychological or psychiatric diagnosis.

Answers may be temporarily processed for:

  • generating system insights
  • displaying personalized results
  • the technical operation of the application
  • preparing coaching, when you share the results yourself or when storage is explicitly part of the functionality
  • improving user experience and functionality, preferably anonymized or aggregated

If scan results are stored temporarily or permanently, this will be stated near the scan or within the functionality itself. When results are not stored, they are only used to display the result directly.

Reasonable technical measures are taken to protect data within the web application.

Automated results

Automated results

The HSP System Scan may automatically display a result or indication based on submitted answers.

These outcomes are intended as reflective and coaching information. They do not have legal, medical or similarly significant effects and do not constitute automated decision-making in the sense of a binding decision about you.

The results should be understood as directional system language, not as a diagnosis or final assessment.

Sharing with third parties

Third parties

Personal data are not sold or rented.

Data are only shared with third parties when necessary for website operation, service delivery, administration, security or when legally required.

This may include hosting providers, email services, administrative software or technical service providers.

When external processors are used, appropriate agreements are made to protect personal data.

Cookies and statistics

Cookies

This website may use functional cookies that are necessary for the website to work properly.

Statistical or analytical data may also be collected to understand website usage and improve the website. Where possible, this is done in an anonymized or privacy-friendly way.

If tracking cookies, marketing cookies or external analytics tools are used that require consent, consent will be requested through a cookie notice or similar functionality.

Storage and retention periods

Retention

Personal data are not retained longer than necessary for the purpose for which they were collected, unless a legal retention period applies.

Contact details and correspondence are retained as long as necessary to answer your question, provide the service or meet administrative obligations.

Scan results are only retained when technically necessary, when you share them yourself in the context of coaching, or when storage is explicitly part of the functionality used.

When data are no longer needed, they are deleted or anonymized.

Security

Security

Reasonable technical and organizational measures are taken to protect personal data against loss, misuse, unauthorized access, disclosure or alteration.

No website or digital processing can guarantee complete security. For that reason, care is taken with the amount of data requested and stored.
